Preparing text before creating a PDF

A few simple checks can make a text document easier to read and share.

Taking a moment to organize text before turning it into a document can make the result easier to review. These general checks apply regardless of which document tool you use.

1. Put the content in a clear order

Arrange the title, headings and paragraphs in the order you want someone to read them. Keep related points together and remove duplicate lines.

2. Check spacing and line breaks

Look for accidental blank lines, split words or headings separated from the text that follows. A quick read-through often catches these issues.

3. Use simple, consistent formatting

Consistent headings and paragraph breaks are easier to scan than a mixture of spacing styles. Keep any symbols or special characters that matter to the meaning.

4. Review the finished document

After creating a PDF, open it and check that the content is complete, readable and arranged as expected before sharing it.
